Six Reasons to Consider a Stand-Alone Visitor Management System

Six reasons to consider a stand-alone visitor management system

There are several benefits to having a stand-alone visitor management system that is not integrated into other internal systems. Here are 6 main reasons:

1. Enhanced Security: By keeping the visitor management system separate from other internal systems, you can minimize potential security risks. Isolating visitor data in a dedicated system helps to ensure the confidentiality and integrity of visitor information. Here is an example of an integrated VMS having security issues where patient info was accessed and alleged HIPPA violations occurred. Several security officers are believed to have accessed the records of hundreds of patients. This breach cost the hospital $240,000 in fines and they are required to update policies and procedures.

2. Improved Visitor Experience: A stand-alone visitor management system tends to be simpler and easier to use compared to a system that is integrated with other internal systems. It is designed specifically for visitor management tasks, allowing for a streamlined and intuitive user experience. A simple and easy to use system enhances the visitor experience with quick sign-in and fast visitor badge printing. Many systems have options for pre-registration as well.

3. Quick Set-Up: Implementing a stand-alone system is often faster and less complex than integrating it with existing internal systems. Since it operates independently, there is no need to navigate complex integration processes or coordinate with various departments or stakeholders.

4. Lower Costs: Stand-alone visitor management systems often come at a lower cost compared to integrated systems. They typically have straightforward pricing models and do not require additional expenses associated with integrating with other systems, such as custom development, ongoing maintenance, or licensing fees.

5. Flexibility and Scalability: A stand-alone system offers greater flexibility in terms of customization and scalability. You can tailor the system to meet your specific visitor management requirements without being constrained by the limitations or compatibility issues associated with integration into other internal systems. Additionally, as your organization grows or changes, you can easily expand or modify the stand-alone system without impacting other internal processes.

6. Independent Functionality: Having a stand-alone system means it can operate independently even if other internal systems experience issues or downtime. This ensures the continuity of visitor management processes, preventing disruptions that might occur if the system were tightly integrated with other internal systems.

The Red Flag feature has been improved! Now you can set your system to not print a badge for any visitor record that has been previously marked with a Red Flag. The attendant will be prompted to redirect the visitor according to your security protocol.

Special New Feature: Red Flag, No Badge

Flag alertsIt’s easy and free to activate this feature. Simply call us and ask for “Red Flag, No Badge” to be turned on. Once it’s on, the above pop-up will come up when a red flagged visitor comes back. No badge will print and the attendant will need to follow the facility’s policy for handling red flagged visitors.

The flags and notes only show to the desk attendant, not the visitor.

Please contact eVisitor Support with any questions on how to use Flags in your system.
